Change a team member's role or access
How to change a team member's role, remove them from your account, and transfer ownership to someone else.
Updated
Only the Owner and Admins can change another member's role or access, or remove them. Here's how each action works and what happens as a result.
Change someone's role
- Open Team.
- Find the member and open their menu (the ⋯ button).
- Select Make Admin, Make Editor or Make Viewer.
You can't change the Owner's role this way — ownership only moves through Transfer ownership, below. An Admin can change anyone's role except the Owner's; only the Owner can change an Admin's role.
Promoting someone to Admin gives them every guide automatically. Moving someone between Editor and Viewer keeps their existing guide access unchanged — see Give a team member access to selected guides if you also need to adjust which guides they can reach.
Remove a team member
- Open Team.
- Find the member and open their menu.
- Select Remove from team, then confirm.
They lose access to this account immediately. This doesn't touch their WelcomeFlo login or any other account they're a member of — if you invite them back later, they accept a new invitation the same way as anyone else.
You can't remove the Owner (transfer ownership first) or remove yourself this way — if you need to leave an account you were invited to, ask its Owner or an Admin to remove you.
Removing someone also frees up a seat, which matters if your team is at its plan limit.
Revoke a pending invitation
If someone hasn't accepted their invitation yet, you don't remove them — you revoke the invitation instead, from the Pending invitations list on the Team page. See Invite a team member for the full invitation lifecycle.
Transfer ownership
Only the current Owner can do this, and only to another active member.
- Open Team.
- Find the member who should become Owner and open their menu.
- Select Transfer ownership…, then confirm.
The chosen member becomes the Owner, with full access including billing and account deletion. You become an Admin. This takes effect immediately and can't be undone from your side — the new Owner would need to transfer it back to you.
Nothing else about the account changes: your guides, subscription, Stripe account and all your content stay exactly as they are. Only the two members' roles move.
Suspended members
If your account is downgraded from Business and no longer fits your current team size, the newest-invited members beyond the new limit are shown as suspended — plan limit rather than removed. Their role and guide access are kept; they're automatically reactivated, oldest-invited first, if you upgrade back to a plan with enough seats. You don't need to re-invite anyone after upgrading back.
