Give a team member access to selected guides
How to limit an Editor or Viewer to specific guides instead of your whole account, and how to change their access later.
Updated
Editors and Viewers can be limited to specific guides instead of your whole account — useful for a co-host, cleaner or contractor who should only see the property they actually work at.
Who this applies to
Only Editor and Viewer roles have configurable guide access. Owner and Admin always have every guide on the account; there's no way to restrict them to a subset.
Set it when you invite someone
- Open Team and select Invite member.
- Choose Editor or Viewer as their role.
- Under Guide access, choose All guides or Selected guides.
- If you chose Selected guides, search and check the specific guides they should have.
Choosing Admin skips this step entirely, since Admins always get every guide.
Change it for an existing member
- Open Team.
- Find the member and open their menu (the ⋯ button).
- Select Edit guide access.
- Choose All guides or Selected guides, and adjust the guide list.
- Select Save.
Changing someone's role also affects this: promoting an Editor or Viewer to Admin automatically switches them to all guides, since Admins can't be limited. Demoting an Admin back to Editor or Viewer keeps them on all guides until you deliberately narrow it — open Edit guide access afterwards if they should be limited to specific properties.
What "selected guides" actually covers
For a selected-scope member, access follows the guide everywhere that matters:
- Editor — can open, edit, activate/deactivate and (if applicable) import or export only the guides on their list. They can also manage Extras, Places and Flo tools for those guides, and see and act on reservations mapped to them.
- Viewer — can open and view only the guides on their list, read-only, including their analytics and reservations.
A guide added to the account after someone's access was set up won't appear for them automatically — add it to their selected list if they should see it.
One exception: shared content libraries (used across several guides) can only be restructured by the Owner or an Admin, even for a selected-scope Editor whose guides all use that library. They can still edit guide-specific content normally.
If you choose the wrong guides
Nothing is lost — guide access only controls what a member can see and do, not what exists. Reopen Edit guide access at any time to add or remove guides, or switch them to All guides.
