When to send your guide
Choose the moments to share your guide so guests have the information before they need it, not after.
Updated
Timing changes how useful a guide is more than its content does.
Send it before travel
The questions a guide answers best — where to park, how to get in, what the door code arrangement is — are all needed before a guest reaches the property.
A guide first shared at check-in has already missed the moment it was most needed.
A sensible pattern
- At booking, so guests planning ahead can read about the area
- Two or three days before arrival, which is when most guests start thinking about logistics
- On the morning of check-in, with arrival details repeated in the message itself
Repeat the essentials in the message
Do not rely on the guide alone for arrival. A guest travelling may have no signal, or a nearly flat battery.
Put the address, the arrival instructions and the Wi-Fi password in the message itself as well as in the guide. The guide is the complete version; the message is the safety net.
During the stay
A QR code in the property covers the rest of the stay. It is there when a guest wonders about the dishwasher on day three, long after your messages have scrolled away.
After check-out
Nothing needs sending. A guide stays open to anyone with the link, so guests who want to remember a restaurant can go back to it — one reason not to publish anything you would mind a past guest reading.
