The most reliable way to get a guide in front of guests is to put it in a message you already send.
Use your saved templates
Most hosts have message templates in their booking platform — a booking confirmation, a pre-arrival message, a check-out reminder. Adding the link to those means it goes out every time without you remembering.
What to write around the link
A bare link gets ignored. Say what it is and why it is useful:
Everything you need for your stay is in our guide: directions, parking, Wi-Fi and our favourite places nearby. welcomeflo.com/yourguide
Naming one or two specific things works better than "all the information you need", because it tells the guest what they will get.
Which messages to add it to
- Booking confirmation — for guests who plan ahead
- A few days before arrival — the one most guests actually read
- The morning of check-in — with the arrival details repeated
The pre-arrival message is the important one. A guide sent after check-in has missed most of its value.
Platform rules
Booking platforms have rules about off-platform links, and they differ. Sharing a link to information about the stay is generally fine, but check your platform's current policy — the rules are theirs, not ours.
Keep the link current
If you ever change a guide's web address, remember to update your saved templates. The old address redirects for 90 days, which is long enough to forget about it entirely.
