Map properties and sync reservations

How to match your Hostaway or Guesty listings to WelcomeFlo guides and turn on reservation syncing for each one.

Updated

After connecting Hostaway or Guesty, each of your listings needs to be matched to a WelcomeFlo guide before its reservations can sync. This works the same way for both providers.

Bring in your listings

  1. Go to Integrations and select Properties on the connected provider's card.
  2. Select Sync properties. This pulls in your current listings.

If a property is a sub-unit (part of a larger listing in your PMS), it's labelled Sub-unit in the list.

Map each property to a guide

For every property, use the dropdown to choose one of:

  • Not mapped — reservations for this property are ignored.
  • An existing guide — match this property to a guide you already have.
  • + Create new guide — WelcomeFlo creates a new guide for you, pre-filled with the property's name, address, check-in/check-out times and cover photo from your PMS. You can edit everything afterwards, same as any other guide.

Mapping is always something you choose — WelcomeFlo never guesses a match by name or address on its own.

Turn on reservation sync

Mapping a property doesn't sync its reservations by itself — flip the Reservation sync switch on for each mapped property you want reservations to flow in for. Turning it on starts an initial sync for that property's upcoming and recent reservations; turning it off stops future syncing without deleting anything already imported.

Where synced reservations show up

Once syncing is on, confirmed reservations appear under Guest Communications → Reservations with guest name, guide, arrival and departure dates, source and status. See About Guest Communications for what happens next.

Keeping things up to date

  • Sync properties re-pulls your current listing list — use it if you've added or renamed a listing in Hostaway or Guesty.
  • Resync reservations re-pulls current and future reservations for your mapped, sync-enabled properties — use it if something looks out of date.

Beyond these manual buttons, WelcomeFlo also keeps reservations in sync automatically in the background, so you don't need to click Resync routinely — it's there for when you want an update right now.

Remapping a property

If you point a property at a different guide later, any guide link already sent for that property's reservations is revoked — a guest who already has the old link will find it no longer works — and a fresh, valid link to the new guide is issued in its place. WelcomeFlo does this deliberately rather than quietly switching a guest's existing link to a different property's guide.
