Send a guest their personalised guide
How to find a reservation, copy or send its guide link manually, check delivery status, and revoke an invitation.
Updated
Every synced reservation has its own page where you can see its guide invitation and act on it directly, whether or not you use automations.
Find the reservation
Go to Guest Communications → Reservations and search by guest or guide name, or select a row from the list. Each reservation shows its guest, guide, dates, source, status and whether an invitation has been sent and viewed.
If a reservation shows Unmapped, its property hasn't been matched to a guide yet — see Map properties and sync reservations.
What the reservation page shows
- Guest — name, email and phone as shared by your PMS (some booking sources withhold email or phone).
- Stay — guide, arrival and departure dates and times, booking source, confirmation code.
- Guide invitation — status, when it's valid from and expires, and view activity (first viewed, last viewed, total views).
- Delivery — the status of writing the link back to your PMS, and any WelcomeFlo emails scheduled or sent for this reservation.
Copy or send the link yourself
With an active invitation, you can:
- Copy link — copies the guest's personalised guide URL, to paste anywhere you like (a direct message, a booking platform's chat, a text).
- Send guide email now — sends the next scheduled WelcomeFlo email for this reservation immediately, instead of waiting for its automation's normal timing.
- Revoke — invalidates the link immediately. Use this if a reservation was made in error or a guest shouldn't have access anymore. Revoking can't be undone, but a new invitation is created automatically the next time the reservation is confirmed and re-synced.
These actions are available to the Owner, Admins, and Editors with access to the reservation's guide. Viewers can see everything on this page but can't take any of these actions.
Retrying a failed PMS write-back
If writing the link into Hostaway or Guesty failed, the Delivery section shows the error and a Retry write-back button. Selecting it tries again using the same link — it never generates a new one just to retry.
